Open Signature Settings
Launch the Outlook application. Click the File tab in the top-left corner, select Options from the sidebar, and then click on Mail in the left-hand menu.

Access the Editor
In the "Compose messages" section, click the Signatures... button. This will open the "Signatures and Stationery" window.

Create or Edit Your Signature

• To replace an old signature: Select it from the Select signature to edit list.

• To start fresh: Click New, type a name for the signature (e.g., "ADA Compliant 2026"), and click OK.

Paste the Template
Clear any existing content in the Edit signature box. Right-click in the empty box and select the Paste icon.

1. Note: If a "Paste Options" menu appears, choose Keep Source Formatting to ensure the accessible font sizes and spacing remain intact.

Personalize Your Information
Replace the placeholder text (e.g., [Your Name], [Your Title]) with your professional details. Do not change the font type or color, as these have been selected for ADA compliance.

Set Your Defaults
Under the Choose default signature section on the right, use the dropdown menus to select your new signature for both New messages and Replies/forwards.

Save and Exit
Click OK at the bottom of the Signature window, then click OK again on the Outlook Options window to save your changes.

Open Outlook Settings
Sign in to your email at . Click the Settings (gear icon) located in the top-right corner of the top navigation bar.

Navigate to Signatures
In the settings sidebar that appears, go to Accounts and then select Signatures.

Create or Update Your Signature

1. To update an existing signature: Select it from the list.

2. To create a new one: Click + New signature and give it a recognizable name (e.g., "Official University Signature").

Paste the Template
In the signature text box, delete any old information. Right-click and select Paste (or press Ctrl+V).

1. Important: The web editor usually preserves formatting automatically. If the layout looks incorrect, try right-clicking and selecting Paste as plain text, though you may need to manually re-apply bolding to match the Word template.

Edit Your Details
Highlight the placeholder text and type in your specific name, department, and contact information. To maintain Title II compliance, please avoid changing the font family or reducing the text size.

Configure Default Signatures
Scroll down to the Select default signatures section. Use the dropdown menus to ensure your new signature is assigned to:

1. For New Messages

2. For Replies/Forwards

Save Your Changes
Click the Save button at the bottom of the page before closing the settings window.

Open Signature Settings
Launch Outlook. In the top menu bar (next to the Apple icon), click Outlook and select Settings... (or Preferences on older versions of macOS).

Access the Signature Editor
Under the Email row, click on the Signatures icon. This will open a window displaying your current signatures.

Create or Edit Your Signature

1. To update an existing signature: Highlight it and click the Edit button.

2. To create a new one: Click the plus (+) icon at the bottom of the list. Give your new signature a name like "ADA Compliant."

Paste the Template
In the editing window that opens, delete any existing text. Click into the box and press Cmd+V to Paste your copied template.

1. Note: macOS Outlook generally does an excellent job of retaining the Word document's formatting, which is crucial for maintaining the accessible font styles required for compliance.

Enter Your Professional Details
Carefully replace the placeholder text with your name, title, and department. To stay within Title II guidelines, please do not change the font (e.g., to a script or cursive font) or adjust the line spacing.

Save the Signature
Click the Save icon (floppy disk) at the top of the signature editor window, then close that specific editing window.

Set as Default
Back in the main Signatures window, look at the Choose default signature section. Select your new signature from the dropdown menus for:

1. New messages

2. Replies/forwards

Open Outlook Settings

Replace the placeholders with your name, job title, and office contact information. To ensure we meet Title II requirements, please keep the text left-aligned and do not reduce the font size.

Set Your Defaults
Scroll to the Select default signatures section. Use the dropdown menus to assign your new signature to:

1. For New Messages

2. For Replies/Forwards

Save Your Changes
Click the Save button at the bottom of the pane before exiting the settings menu.
